Privacy Policy

This Privacy Policy explains how QOTA Pro LLC dba QOTA ("QOTA," "we," "us," or "our") collects, uses, and shares information when you use our website, mobile application, and services (collectively, the "Platform"). QOTA is based in Florida, and we handle your information in accordance with applicable laws, including the Florida Information Protection Act (FIPA).

1. Information we collect

We collect the following categories of information:

  • Account information: name, email address, phone number, password, and user role (Homeowner or Pro).
  • Professional verification (Pros only): business details, license and insurance information, and official verification documents.
  • Project information: details, photos, timelines, budgets, and addresses provided for project requests.
  • Communication data: the content of messages, quotes, and files sent through the Platform's messaging system.
  • Financial information: payment details are processed directly by our third-party provider, Stripe. We receive limited transaction data (e.g., confirmation of payment, last four digits of the card); we do not store full credit card numbers on our servers.
  • Usage and device data: IP address, browser type, device identifiers, log data, and approximate location derived from your device location (with your permission), project address, IP address, or ZIP code to improve contractor matching and Platform functionality.

2. How we use information

We use your information to:

  • Facilitate account creation and management.
  • Match Homeowners with Pros based on location and project needs.
  • Enable the generation of quotes and the processing of secure payments.
  • AI drafting: we may use trusted third-party AI providers to assist Pros in drafting proposals, answering project questions, and improving productivity. Project information necessary to generate these drafts may be shared securely with these providers. AI-generated content is intended solely as a drafting aid. Users remain solely responsible for reviewing, editing, and approving all content before sending or relying upon it.
  • Push notifications: we may send push notifications relating to projects, quotes, messages, payments, verification status, account activity, and important security updates. Notification preferences can be managed through your device settings and within the Platform where available.
  • Email and SMS communications: we may send transactional emails and text messages relating to your account, projects, payments, verification, security, and customer support. Marketing communications are optional and may be unsubscribed from at any time. Standard message and data rates may apply.
  • Maintain the safety and integrity of our Platform, including identity verification and fraud prevention.
  • Comply with legal obligations and enforce our Terms of Use.

3. Legal basis for processing

We process personal information as necessary to:

  • provide and operate the Platform;
  • perform our contract with you;
  • comply with legal obligations;
  • protect our legitimate interests, including fraud prevention, security, dispute resolution, and improving our services; and
  • where required by law, based on your consent.

4. Address privacy

We prioritize your privacy. Pros can initially see only your approximate location (city, state, and zip code) and the rough distance to a project. Your full street address is shared only with the specific Pro whose quote you have officially accepted. Pros who only submit quotes will never receive your full address.

5. Verification and trust

Identity verification, license verification, insurance verification, and any future background check features are intended to improve trust on the Platform. However, these verifications do not guarantee a user's honesty, qualifications, workmanship, financial responsibility, safety, or future conduct. Users remain responsible for exercising their own judgment before hiring, accepting work from, or otherwise interacting with another user.

6. How we share information

We share information only in the following circumstances:

  • With other users: we share necessary project details between Homeowners and Pros to facilitate the job.
  • With service providers: we share data with vendors who provide hosting, email delivery, payment processing (Stripe), and AI-assisted drafting tools. These providers are contractually obligated to protect your data.
  • For legal reasons: we may disclose information if required by law, subpoena, or to protect the rights, property, or safety of QOTA, our users, or the public.
  • Business transfers: in the event of a merger, acquisition, or sale of assets, user information may be transferred as a business asset.

No sale of data: we do not sell your personal information to third parties.

7. Cookies and analytics

We use cookies and similar tracking technologies to keep you signed in, remember your preferences, and analyze how users interact with our Platform. You can manage your cookie preferences through your browser settings, though some features of the Platform may not function properly if cookies are disabled.

8. Data security and Florida privacy rights

We implement reasonable administrative, technical, and physical safeguards to protect your personal information.

  • Florida Information Protection Act (FIPA): in the event of a breach of security that compromises your "personal information" (as defined by Florida Statute § 501.171), we will notify you and the Florida Department of Legal Affairs as required by law.
  • Security disclaimer: while we strive to protect your data, no method of transmission over the internet is 100% secure.

9. State-specific rights (including California)

Depending on where you reside, you may have the right to:

  • Request access to the categories and specific pieces of personal information we have collected.
  • Request the deletion of your personal information.
  • Opt-out of the "sharing" of personal information for cross-contextual behavioral advertising.

10. Third-party service providers

We rely on the following third-party service providers ("subprocessors") to operate the Platform. Each provider receives only the information needed to perform its function and is contractually obligated to protect your data:

  • Supabase — database, authentication, and file storage.
  • Stripe — payment processing, payouts, and saved payment methods.
  • Anthropic — AI assistance used to help draft proposals and respond to project questions.
  • Google Maps — location lookup, distance calculations, and address services.
  • Lovable Cloud (hosting and email infrastructure) — application hosting and transactional email delivery.

11. Data retention

We retain your information for as long as your account is active or as needed to provide you with services. We also retain and use information as necessary to comply with legal obligations, resolve disputes, and enforce our agreements. When information is no longer required, we will securely delete or anonymize it.

Typical retention periods:

  • Account profile: retained while your account is active; removed or deactivated after deletion as described in our Delete Your Account page.
  • Project and messaging data: retained for the duration of the project plus a reasonable period to support disputes and audits.
  • Payment, tax, and dispute records: generally retained for the period required under applicable tax, accounting, payment, consumer-protection, and other legal requirements, which may be up to seven years or longer where required by law.
  • Fraud and security logs: retained for the period needed to investigate and prevent abuse.
  • Anonymized analytics: may be retained indefinitely in a form that does not identify you personally.

12. Children's privacy

QOTA is not directed to children under 13. We do not knowingly collect personal information from children under 13. The Platform is intended for users 18 years of age and older. If we learn we have collected personal information from a child under 13, we will delete it immediately. Parents or guardians who believe their child has provided us with personal information may contact us at support@qotapro.com.

13. Account deletion

You can delete your QOTA account at any time. Sign in and use Account Settings → Delete Account, or if you cannot sign in, follow the instructions on our Delete Your Account page. That page also describes exactly what data is removed and what we may need to retain.

You may also access, update, or correct certain account information at any time through your Account Settings.

14. International users

QOTA is operated from the United States. If you access the Platform from outside the United States, you understand and agree that your information may be transferred to, stored, and processed in the United States, where privacy laws may differ from those in your jurisdiction.

15. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by updating the "Effective Date" at the top of this policy and, in some cases, providing additional notice (such as an email or a notification on our Platform).
